Report from Celtic Gathering Meeting

Dia Duit Good folk of Twin Riverswood.
Herein lies the report for the Celtic Gathering/ Meeting held Saturday.
We had a small turn out and a light repast of Irish Soda Bread with Irish Butter, sliced ham with Aged Irish Cheddar, Green Salad with Goat Cheese, Irish shortbread and Irish cakes with imported Irish tea and good coffee were enjoyed by all.

Though the weather was fair, some members who were planning on coming were kept away by health/ work related issues at the last moment, and Baroness Sancia being far off was there in spirit wink emoticon

Old Business
Status of Twin Riverswood
As of March 10,2015 we have succeeded in gaining our own Employment Identification Number(EIN) from the IRS; with this first step we can now start the process of shaping our organization and doing the paperwork to fulfill our goal of achieving a non profit status. We are a historical education entity on our EIN grant as it best describes what we are doing.
Baroness Sancia has graciously offered to make a donation to go towards the filing fees for the non profit paperwork, which will be $75.00 plus an additional $200.00 should we have a lawyer or legal aide file them for us (IRS recommendation, but not a requirement).
Yule Event
Although advertised our attendance for this event was only a handful of members. This event was held at the Limestone Rec Room, and the Rec Director, Bill Tucker, was supportive suggesting that perhaps the time we had chosen(3-5pm) because the date(Dec. 21) was so close to Christmas could have been a factor as well as our newness as a group in the area. He suggested having events earlier in the day closer to our meeting times (currently 1-3pm) and advertising earlier to boost attendance at our events; I agree with these points and all those present also thought this was a good guideline to follow.
New Business
Officers
Donnovan Leye has stepped down as our Knight Marshal to pursue another post within the Shire of Smithwick. We wish him well and he is welcome to visit Twin Riverswood whenever he desires. Baroness Mairi had stepped down as our Herald and Guildskeeper in November due to health issues which have required several surgeries. She is home now from her most recent and we will send her a get well card in the Monday post. Keep hanging in Mairi and we hope to see you soon at some of the meetings throughout the year; with Donnovan's leavetaking, Aristonia has been moved from her position of Deputy Knight Marshal yo Knight Marshal, and the positions of Herald and Guildskeeper remain vacant at this time.
Membership
I am on the Board of Directors for several non profit organizations, and the one thing they all have in common is that membership forms and dues go far towards helping maintain order and cash flow within them, and go back into the communities through the events and projects they present throughout the year, One of the other things that several service/educational based non profits do is have background checks done on potential officers and consistent volunteers (these checks are for burglary, arson, child endangerment in all forms, hate crimes); when I applied for Twin Riverswood's EIN it was under the status of a historical educational entity which places it under these guidelines as far as electing new officers and screening consistent volunteers (people who will be doing things within the context of community interaction for the purposes of executing activities related to an event or program for the enrichment or education of the general public) for events. This will protect our group as well as provide peace of mind for upcoming demos, events, etc.
A Maine background check through the police department will cost little or nothing and cover this requirement,
** Members who work in fields where background checks are done as a condition to hire won't need to have another one done when volunteering for either of these roles.
Those present had mixed feelings on this, but it isn't misdemeanors that are the focal point and once the scope was explained, while still a bit leery, they agreed it would be a good thing to add to the bylaws as we form them.

Membership Dues
In the past the idea of membership dues and donations were discussed as ways to fund our group events as well as pay for the filing fee for our non profit paperwork. The amount discussed previously was a yearly fee of $10.00 per adult 18 + and $5.00 per child ages 12-17 as a fair and reasonable rate. Those present were still in agreement on this amount.

Other
some discussion was done about possible venues of exposure for our group and I will be connecting with Caribou Chamber to see when the caribou Cares about Kids events are this year as well as if there is a fee to have a non vending 'booth' for one of their Thursdays on Main Street evnts held throughout the summer. In my capacity of Event Planner I will be working with Bill Tucker on creating several events for the upcoming months including some for Trafton Lake which may also include a venue where our group can host something, possibly later in the summer after July.
Discussion also took on advertising aspects as well which I will be in a more knowledgeable position on after a business conference I am attending on the 2nd of April which includes utilizing multimedia for successful marketing of your business/ non profit organization.

we have no funds at this time.
Knight Marshal
Donnavan Leye abdicated; Aristonia Bourdain, Deputy Knight Marshal, has stepped into his boots to do this position.
She is going to get information on where we can purchase/ rent archery and fencing equipment from a local martial arts dojo with these connections; *if UMFK Medieval Club is still working with us it had been discussed last year that perhaps we could use these items there( if they still have them) and schedule practices.
**Baroness Mairi or our Chatalaine Claire could get us updated on this.
Chatalaine
unable to attend meeting.
donations to garb/feast ware- no new donation known.
New potential members/ interested parties- none known.
Keeper of the Guilds
Seeking new person.
Baroness Mairi is willing to help with these things just not as an officer.
Projects
Today we stenciled a cotton canvas pouch with a Celtic design of our choosing and added a pine tree bead and clover charm to the ties; Lady Amhranai gave each one an Irish blessing card with a trinity knot charm and each person chose a shamrock shaped wish stone to add to the bag.
Demo Requests- we have none at the time being.
Mistress of the Web
Baroness Sancia is seeking a new host for the webpage, and keeping up our web version of our newsletter The Helmsman, which she keeps updated with these agendas and anything else we need added to it.
Magistrate
Dona Aurora has not been able to attend meetings for awhile, so we have no updates at this time.
Keeper of the Tomes
Dona Aurora has this as well for the printed edition of our newsletter the Helmsman, but she has no updates and has not been in contact due to family considerations.
