Feasting, dance instruction, music ,a hand craft or two- we have plenty to do to bide the time on this chilly day and we extend an invitation to all to join us gentlefolk in celebrating friends, fun and hearth.
Admission is free but a donation will be gratefully accepted

Old Business
Non Profit Status Update
Sancia has been looking at documents on the IRS site and trying to narrow down the best way for us to file at the best price point (without a middleman ) for our organization to become a recognized NPO. She has found that the form we must submit is a 1023 and beyond that it is the frustrating work of sifting through pages to find the ones that will take us through successfully without a fortune in gold and rubies.
Demos and Events
Harvest Carnival (Oct. 16) in Limestone ,ME
The Harvest Carnival was brought back after a 3 year hiatus and both Baroness Sancia and Sophie donned pirate garb and manned a table with info on our organization, and a wool yarn making demonstration by the Baroness. Several children came to watch and try their hand at the carding process and adults attended as well. Some information was handed out to interested individuals so a fun time was had by all.
New Business
Limestone Annual Light Parade
Our Chamber of Commerce President was looking for people to come to our Annual Light Parade (Nov. 28) to help lead Caroling before hand at the gazebo in Rotary Park next to the Post Office on Main Street. I had told her I was meeting with the group and I would see if Sophie and Sancia could possibly help as the rest of us are in the parade itself in another capacity. after some discussion it was decided against as Sancia has a prior commitment that day and Sophie didn't(understandably) want to do this alone.
Yule Celebration( December 12-see event detail on this page)
Chris Bouchard has printed a blurb about this event (along with the Elf Pal Academy hosted by T.A.P.I.S.) in the November 18th issues of The Aroostook Republican and The Bangor Daily News ( it is on the continuation of the story Limestone Festivities pg. 2 Aroostook Republican). I created a flier for the event to be hung in various businesses upon approval of those in attendance ( it was unanimously approved) and copies will be made and hung in businesses starting Dec.1.

There will be feasting and I have a proposed menu which was gone over by those present and tweaked. ( an updated menu will be posted to Files in both formats on this page). We will have music playing, and Baroness Sancia will be teaching all who come the Horah ldance as it is easy to learn and appropriate for this season of celebration. Musical instruments will be on hand for those who wish to learn drumming or who can play a recorder . we will have a few games set up as well.

Events/ Advertising Yule event will be advertised on MPBN Community calendar, WAGM county Calendar promoted on Facebook, and I will contact Chris Bouchard again to see if he can run an article for the event in the Aroostook Republican/ Bangor Daily News. I asked Sancia if she would contact the St. John Valley Times and Fiddlehead Focus to see if they can also run an article or a quick blurb about the upcoming event.
Exchequer- Baroness Sancia
We have no funds in our coffers; the Yule event is a $ donation accepted event. No funds on dedicated card. She is looking into finding Grant writing workshops so that when we achieve our NPO status we can possibly get targeted funding for the various aspects of the organization.
Knight Marshal -Aristonia
Aristonia has found a few places where we can get weaponry for a good price once we have our NPO status. She also may have found a local group that has fencing practices that are open to anyone who wants to participate through the Recreation Department in Caribou. Archery is on hold until spring possibly early summer when Limestone Recreation hopes to have some equipment donated that we can use on a range the Director is working to create.
Chatelaine- Claire Valera O'Neal
(Claire has been in contact with Branwen since our meeting and I am including this here. Due to her school schedule and homework load as well as lack of transportation , Clare has regretfully asked to resign her position as Chatelaine . though she still wishes to be kept on the roster as a Facebook member.)
Sophie Hamlin at our meeting had offered to take on the role of Chatelaine if Clare was unable to fulfill her duties due to school case load and transportation issues. We said we would discuss this with Clare (see above) but as of this writing the matter has resolved it self.
Good Luck with your studies, Clare, and if you get a chance to come to an event you will be welcomed.
Donations to the Chest none since last time.
A written log will be soon created to keep track of what is in our chest and what we need.
New People/ Interested Parties
Kaleb R. Dampf- Interested in joining the group. He wants to fill out a membership form at the Yule Celebration and is interested in attaining the status of Archery Marshal under the Knight Marshal.
Jared Dampf- Wishes to join the group and also wants to do a membership at Yule. He wishes to attain the status of Fencing Marshal under the Knight Marshal.
Keagan Page- friend to Kaleb this comedian wishes to join our group as our official jester ( I had left jester garb with Aristonia and he tried it on - then proceeded to parade around claiming hw would never take it off! lol)
He also wishes to fill out a membership form at the Yule celebration as well as provide some entertainment.
Donnovan Leye - Baroness Sancia talked to Donnovan and he wishes to attend meetings as well as our Yule Celebration. We have not seen you in a while, Donnovan and you are welcome to join us as you will.
(Vacant) Keeper of the Guilds
We are looking at developing a way to add different guilds to our organization. Ones that have been mentioned are Bardic Arts; Culinary; Textiles; Leather working; Handcrafting( covers a variety of genres)
Discussed was the possibility of having a different 'guild' work at meetings.
We will continue to work on this aspect.
Web Mistress- Baroness Sancia
She has had problems finding a good site for us to land into so after some discussion it was agreed to NOT have a website but concentrate on developing our newsletter, The Helmsman, instead and add pages so it is similar to a blog. with this shift, Baroness Sancia is now officially Keeper of the Tomes and will be continuing to do as she has been putting events and agendas on the page as well as updating this page along with me.
The Helmsman will be gaining the following pages:
Culinary- this is where our gentlefolk can submit recipes, articles of a historical culinary nature, or other related topics.
Officers- once created the officers reports will go here as well as any related content to their positions. These will include pages for both major and minor officers.
Events- this is where people will look for information on upcoming events, meetings, practices, and any alterations to scheduled events as well.
Bardic Arts- this section is for those who are writers, poets, tunesmiths, and artists.

Meeting Minutes from September 19, 2015

Held at: Riverside Park, Presque Isle Maine (the Library was closing at 2pm so this was an alternative meeting space).

We started with a simple repast and a surprise birthday well wishing for Sophie Hamlin whose birthday is September 24th. A calendar with complimentary booklets and a card signed by all present was presented to her.

Bylaws
Baroness Sancia had written up a Grievance policy that was looked over and voted on to add to the Bylaws, which I have paraphrased and reworded as I wrote it out. I sent a copy to her via email to be looked over and if she likes the way it is written it will be posted here under Files.
Demos and Events
Thursdays on Sweden Street - Aristonia, Branwen, and myself set up a booth at this event held in Caribou on July 30 and we had a good turn out with lots of people stopping by to play games and chat finding out more about us and who we are, what we do. the band playing that night, Muddy Ruckus, gave a great performance of original material.
Maine on Main in Van Buren on August 8th had a good turnout as well. Branwen, Aristonia, and I had a canopy set up with information on Twin Riverswood as well as Tinker's Dame where several wares were available for purchase handcrafted by all of us and by Classic Cake Creations (cinnamon rolls, yum), and Sophie set up a display adjacent to us with clothing and informational books. We had a lot of people in the booth to purchase items, chat, get information on us and look at Sophie's clever and artistic display. One couple from out of state were thrilled to see us there and said they would follow us on the Facebook page to see when our next events were, especially if we are going to be doing a Faire event next year in the summer/ early fall they had friends that they would like to bring to it .( I am working with Limestone Recreation on this for next summer/ early fall at Trafton Lake).

Baroness Sancia had taken pictures of our Banners created by Blvd Graphix that were hung up at our booth for the Maine on Main event and had posted them here and on the Helmsman as well.
New Business
Non Profit Status Discussion
Baroness Sancia has looked over both the 501(c#) and 501(c7) requirements and feels that the 501(c3) which applies to educational related organizations vs, the 501(c7) which is targeted more for hobby groups is the best way to go. I stated we are a historical educational organization when I applied for and received the EIN for this group so this makes sense and all present were in agreement. She will look into using the Cyber Assistance Tool on the IRS site to get us the best filing fee possible by cutting out the middle man. As a filer under (c3) status educational our group would also be able to get grants for projects we undertake.
Upcoming Events
Caribou Heritage Day September 26 6-9pm at Caribou High School I was under the impression when Lydia Kieffer Caribou's Event Coordinator first approached me about this that it was to be in the High School Gymnasium, but she has since let me know this is an outside event where people will need their own lights, generators, etc. I have been in contact with our Chatalaine Claire Valera O'Neal about possibly hosting this, but I think given this new information we will pass on this one since none of those present would be able to do the booth due to prior commitments.
Harvest Carnival October 16 6-9pm Limestone Community School Gymnasium - This event was also discussed and though Aristonia, Branwen, Jared, and myself are committed to other booths for this event Sancia and Sophie agreed to do an information booth for Twin Riverswood that evening. I have costumes and the information boards as well as the banners so we can set something up.

We welcome Baroness Sancia back to our fair lands from her many travels afar and are happy she will be with us for some little time.
we also welcome Jared Dampf to our group as a new member who looks forward to joining us in as many events as he can get to as well as meetings. Jared is Aristonia's son.

I handed out copies of our updated bylaws to those present and Sancia will work on a greivance policy conjunct for this so we have everything lined up when we file for our non profit status. Now that she is here for a while, Sancia stated she will look at the IRS site when she gets a chance to determine which status (501(c3) or 501(c7)) we will fall under so we can file accordingly.
Demos and Events
Knight& Damsel Tea- The Aroostook Paranormal Investigation Society hosted this event at Limestone Rec Center on June 12 from 2-4pm. Aristonia, Branwen, Jared, and Amhranai were there ( Aristonia and Amhranai are President and Vice President respectively of the paranormal group) with a turnout of 6 children, perhaps 8. Some of the games from twin Riverswood were used for this event and the children had fun learning target practice, swordplay(with toy swords not Amhranai's blades!) ringing the unicorn and helping Milicent's dragon eggs safely return to their mother.
Many avenues of advertising were utilized for this event, but as it was a Friday afternoon the general consensus was that next year a Saturday event would receive a higher attendance.
Thursdays on Sweden Street- last meeting we discussed possibly doing one of these and I found the schedule. looking it over the only night that had a musical theme we could work with was on July 30 when the band playing was a fusion of Americana, gypsy swing, and punk rock.It won't cost anything for a space we would just have to be there about two hours earlier to get a spot and set up before other vendors closed in and the streets were roped off. All present thought this was a good idea, and Aristonia will bring a folding table with chairs and Amhranai will bring a cloth, relevant decor, information sheets about the group and one of our banners(signs) to display.
Signs for Twin Riverswood
Last meeting I had stated I would purchase signs for our group to have for events from Joe Lapierre at Blvd Graphix for $70.00 (30.00 for 2 signs + 40.00 vectoring fee). Well, they are finished and ,when I picked them up Joe surprised me by throwing in a 3rd free of charge! So now we have 3 signs with grommets for hanging at practices, meetings and events- which is of course a very good thing!
Dedicated Card
I have a dedicated card to use for making purchases for Twin Riverswood until we get our non profit status and open a bank account at which time we will get bank cards to use for the same purpose. the only fee with this card is a monthly maintenance fee which I pay.

Advertising
Brochures were mentioned and as I have to get a price quote on stationery for another group from Blvd Graphix, I will get a quote for these from Joe as well. Since he already has the image on file we wont have to pay a set up fee, so if I bring him a sheet with all the info we want included we will be fine. I think we can get a small run for about 70.00, but I will double check.
Besides the avenues I already use for promotion of our events, ( WAGM County Calender, MPBN events page, Aroostook Republican notifications, Facebook posts, event fliers in high traffic areas), we are going to see if the St. John Valley Times will also help with promotion.
Sophie suggested going up to Fort Kent on one of her weekends off and meeting up with the editors as well as possibly meeting up with some of our members up that way.

Upcoming Demo on July 30, 2015-Thursdays on Sweden Street

Thursday July 30th, Twin Riverswood will be having an information booth at the Caribou-Thursdays on Sweden Street. We will be setting up between 3-4pm to be ready for the event to start at 6pm. This event goes until 9pm, and it is free to enter as well as free to attend. There will be a band playing called Muddy Ruckus and the night's theme is Dog Days of Summer. All who want to come participate are encouraged to come join us. There will be food vendors there, and streets will be blocked off for the duration of the event.

Report from Celtic Gathering Meeting

Dia Duit Good folk of Twin Riverswood.
Herein lies the report for the Celtic Gathering/ Meeting held Saturday.
We had a small turn out and a light repast of Irish Soda Bread with Irish Butter, sliced ham with Aged Irish Cheddar, Green Salad with Goat Cheese, Irish shortbread and Irish cakes with imported Irish tea and good coffee were enjoyed by all.
Twin Riverswood Celtic Gathering/ Meeting

Though the weather was fair, some members who were planning on coming were kept away by health/ work related issues at the last moment, and Baroness Sancia being far off was there in spirit wink emoticon

Old Business
Status of Twin Riverswood
As of March 10,2015 we have succeeded in gaining our own Employment Identification Number(EIN) from the IRS; with this first step we can now start the process of shaping our organization and doing the paperwork to fulfill our goal of achieving a non profit status. We are a historical education entity on our EIN grant as it best describes what we are doing.
Baroness Sancia has graciously offered to make a donation to go towards the filing fees for the non profit paperwork, which will be $75.00 plus an additional $200.00 should we have a lawyer or legal aide file them for us (IRS recommendation, but not a requirement).
Yule Event
Although advertised our attendance for this event was only a handful of members. This event was held at the Limestone Rec Room, and the Rec Director, Bill Tucker, was supportive suggesting that perhaps the time we had chosen(3-5pm) because the date(Dec. 21) was so close to Christmas could have been a factor as well as our newness as a group in the area. He suggested having events earlier in the day closer to our meeting times (currently 1-3pm) and advertising earlier to boost attendance at our events; I agree with these points and all those present also thought this was a good guideline to follow.
New Business
Officers
Donnovan Leye has stepped down as our Knight Marshal to pursue another post within the Shire of Smithwick. We wish him well and he is welcome to visit Twin Riverswood whenever he desires. Baroness Mairi had stepped down as our Herald and Guildskeeper in November due to health issues which have required several surgeries. She is home now from her most recent and we will send her a get well card in the Monday post. Keep hanging in Mairi and we hope to see you soon at some of the meetings throughout the year; with Donnovan's leavetaking, Aristonia has been moved from her position of Deputy Knight Marshal yo Knight Marshal, and the positions of Herald and Guildskeeper remain vacant at this time.
Membership
I am on the Board of Directors for several non profit organizations, and the one thing they all have in common is that membership forms and dues go far towards helping maintain order and cash flow within them, and go back into the communities through the events and projects they present throughout the year, One of the other things that several service/educational based non profits do is have background checks done on potential officers and consistent volunteers (these checks are for burglary, arson, child endangerment in all forms, hate crimes); when I applied for Twin Riverswood's EIN it was under the status of a historical educational entity which places it under these guidelines as far as electing new officers and screening consistent volunteers (people who will be doing things within the context of community interaction for the purposes of executing activities related to an event or program for the enrichment or education of the general public) for events. This will protect our group as well as provide peace of mind for upcoming demos, events, etc.
A Maine background check through the police department will cost little or nothing and cover this requirement,
** Members who work in fields where background checks are done as a condition to hire won't need to have another one done when volunteering for either of these roles.
Those present had mixed feelings on this, but it isn't misdemeanors that are the focal point and once the scope was explained, while still a bit leery, they agreed it would be a good thing to add to the bylaws as we form them.

Membership Dues
In the past the idea of membership dues and donations were discussed as ways to fund our group events as well as pay for the filing fee for our non profit paperwork. The amount discussed previously was a yearly fee of $10.00 per adult 18 + and $5.00 per child ages 12-17 as a fair and reasonable rate. Those present were still in agreement on this amount.

Other
some discussion was done about possible venues of exposure for our group and I will be connecting with Caribou Chamber to see when the caribou Cares about Kids events are this year as well as if there is a fee to have a non vending 'booth' for one of their Thursdays on Main Street evnts held throughout the summer. In my capacity of Event Planner I will be working with Bill Tucker on creating several events for the upcoming months including some for Trafton Lake which may also include a venue where our group can host something, possibly later in the summer after July.
Discussion also took on advertising aspects as well which I will be in a more knowledgeable position on after a business conference I am attending on the 2nd of April which includes utilizing multimedia for successful marketing of your business/ non profit organization.

She is going to get information on where we can purchase/ rent archery and fencing equipment from a local martial arts dojo with these connections; *if UMFK Medieval Club is still working with us it had been discussed last year that perhaps we could use these items there( if they still have them) and schedule practices.

Today we stenciled a cotton canvas pouch with a Celtic design of our choosing and added a pine tree bead and clover charm to the ties; Lady Amhranai gave each one an Irish blessing card with a trinity knot charm and each person chose a shamrock shaped wish stone to add to the bag.

Baroness Sancia is seeking a new host for the webpage, and keeping up our web version of our newsletter The Helmsman, which she keeps updated with these agendas and anything else we need added to it.

Dona Aurora has not been able to attend meetings for awhile, so we have no updates at this time.

Dona Aurora has this as well for the printed edition of our newsletter the Helmsman, but she has no updates and has not been in contact due to family considerations.

An official formerly charged with making royal proclamations and bearing messages of state between
sovereignty and conveyed challenges at a tournament.  The Herald acts as advisor in all heraldic matters who supervises Field Heraldry, Court Heraldry, activities at The College of Arms and ensures that the Order of Precedence is made available.

Exchequer of Receipt is the modern equivalent of the treasurer who maintains records of the collected monies of the branch and supervises the finances of the branch.
